Case Study: Beds & Herts LMC (Local Medical Committee)
Bedfordshire and Hertfordshire Local Medical Committee (Bed and Herts LMC) regularly communicates with GP surgeries, via in‑person and online meetings, phone calls and emails. Details of meetings have to be recorded and stored to create a comprehensive, secure audit trail.
Before working with Appdrawn, this was a complex and timely process. Data was logged on a basic platform that lacked the kind of features and functionality critical to a smooth user experience. In short, it made the daily duty of logging and sharing information a real pain!
Beds and Herts LMC also had the challenge common to all public sector organisations: the need to cut costs, reduce man‑hours and do more with less.
We built a bespoke solution with a comprehensive CRM (customer relationship management) database at its core. Key features include:
- Centralising contact details of personnel attending Beds and Herts LMC meetings, as well other staff members and users of the platform. Contacts can be searched and filtered, and notes can be added, edited and deleted with ease.
- Enabling the creation of a rich audit trail, enhancing accountability and making it easier for new users to find historic information without the need to search through different databases and seek assistance from others.
- Permissions functionality restricting access to certain users. This applies to each part of the CRM so, for instance, basic information on all contacts may be visible to all, but notes on certain contacts or specific interactions will be limited only to those who need access to them.
- Newsletter feature which automatically slices and dices data from the CRM and sends out mailings, significantly reducing the time traditionally taken when this task was manual.
- Amalgamation of records from multiple GP surgeries, reducing time and improving decision making.
The new platform has reduced the time taken making notes, editing information and finding relevant data, freeing up staff members to focus on value‑add - and more enjoyable! - tasks.
Data is ultra‑secure and is accessible only to those who need it, minimising the risk of data breaches.
